Accessing & Navigating Records in SurePact

Introduction

SurePact records store everything related to your grants, projects, contracts, portfolios, and assets. To work effectively, you need to know how to access and navigate records.

This guide explains:

  • How to find and open records

  • How to navigate Stages & Steps/Tabs within a record

  • How to find linked records

🔍 Finding & Opening a Record

  1. Go to the Record Type Page

    • Click the relevant or related record type in the left-hand menu: Grants, Projects, Portfolios or Assets.

  2. Find the Record You Need

    • Use the search bar or apply filters to refine results.

  3. Open the Record

    • Double-click the record to open its details page.

Understanding Record Stages & Steps

Each record in SurePact follows a structured process with different Stages within the workflow and Steps (tabs) that guide you through key actions.

  • Stages appear on the left side of the record and represent major phases within the workflow of the record’s lifecycle.

  • Steps (tabs) appear at the top of the record, below the record’s information bar. These represent specific actions within each Stage.

💡 Tip: Click on different Stages to view Steps that guide you through specific tasks or actions related to the record.

Viewing Linked Records

When you open a record, SurePact automatically displays any related records linked to it.

  • Grants → Linked records under Overview - Stage 1 or Reporting - Stage 3.

  • Projects & Portfolios → Linked records under Initiation - Stage 1 or In Delivery - Stage 3.

  • Contracts → Linked records under Initiation - Stage 1.

💡 Tip: Click on any linked record to instantly open it without needing to return to the main menu.

Best Practices for Managing Records

  • Keep records updated to ensure accuracy.

  • Review related records to understand project and funding links.

  • Use Governance Logs to track approvals and changes for compliance.

  • Check permissions before updating records—only Record Managers can edit record details.
